A tender management system lets you collect, compare and decide on supplier quotes in one place. In the Bid (Tender) module of One Soft ERP, everything about an announced tender — the request, the offers received, the terms and the commission's opinions — is kept in a single system, and the decision is documented transparently.
When offers are collected by e-mail and compared in Excel, it is hard to reconstruct later when each offer arrived, on what terms it was compared and why the decision went the way it did. In the Bid module all of that stays on the tender's own document.
Bid module or Tender module controls entire information content of a tender which has been announced. The entire process of writing and preparing tenders or proposals accompanied with their competitive price is known as a Bid module or Tender module.
A request is initiated in the Bid module, i.e. a tender is held for certain goods. All price proposals and conditions are considered and a decision is made. It is also possible to appoint a Tender Commission in the Bid module which we offer. All members of the Tender Commission may express their opinion on the choice of price and other conditions.
Also, in the Bid module, you can view price offers from different companies and select the appropriate price offer. Thus, the Bid module is an important module for price formation and for making the right decision.
For contractors bidding on tenders from large clients (SOCAR-type procurers), spreadsheet-based proposal comparison can raise transparency questions. The Bid module keeps every proposal, condition, and commission decision in the system, producing a process that can be shown as evidence.
Who it's for
- Companies that regularly choose between suppliers for goods, services and transport
- Organisations where a tender commission makes the selection
- Contractors bidding on large clients' tenders who need to evidence their process
- Procurement and logistics departments
How it works
- 01A tender is opened for goods, services or transport.
- 02Price offers and terms are collected from suppliers.
- 03The tender commission reviews the offers and gives its opinion.
- 04The suitable offer is selected and the decision is recorded in the system.
- 05The result passes to a purchase order or to the Logistics document.
Key capabilities
- Tenders (requests for quotation) launched for specific goods or services
- Tenders opened from an approved requisition
- Side-by-side comparison of prices and terms from different companies
- A tender commission appointed, with members giving their opinion on price and terms
- The right offer selected and the decision recorded in the system
- All offers, terms and commission decisions kept on record
- Carrier selected through a tender and passed to the Logistics document
How it connects to other modules
In the purchasing chain the Bid module sits between Requisition and Purchase Order (PO): quotes are collected for an approved need, and the winning offer becomes the basis of the purchase order. Logistics follows the same logic — the carrier is selected in the Bid module and lands on the Logistics document automatically.
Benefits
- Price formation and supplier choice are based on data
- No more transparency questions from spreadsheet-based comparisons
- Commission members' opinions are stored with the decision
- Past tenders become a reference for future purchases
Frequently asked questions
What does the Bid module manage?
The full information content of an announced tender: the request, supplier price offers, terms, the commission's opinions and the final decision.
How does the tender commission work in the system?
A commission is appointed for the tender; its members record their opinion on price and other terms in the system, and the final decision is stored together with those opinions.
How do we compare offers?
Price offers and terms from different companies are reviewed in the system and the suitable offer is selected — no separate spreadsheet needed.
Is the Bid module connected to logistics?
Yes. When transport is needed, the carrier is selected in the Bid module and the details pass to the Logistics document automatically.
Can we prove a tender outcome later?
Because every offer, term and commission decision stays in the system, you can show at any time which offer was chosen and why.
Which companies benefit from the Bid module?
Companies that regularly choose between suppliers, make the decision through a commission, or bid on large clients' tenders and need to evidence their process.
