Customer payment accounting shows which invoice every receipt belongs to and how much each customer still owes. In the Sales Payment module of One Soft ERP, when a customer pays against an invoice a Sales Payment document is created — for the full or a partial amount — and the sales order, invoice and payment chain is complete.

When customer payments only show up on the bank statement, finding out which payment settles which invoice and who is late by how much takes manual reconciliation. The Sales Payment module links every receipt to its invoice the moment it is recorded.

Sales Payment module is a module where financial transactions related to the customer are performed. When you issue any invoice to a customer, the same process is performed in your Sales Invoice module, where a document is created. This is your Sale Invoice document. When a customer pays you based on this invoice, you have a Sales Payment document created. You create a Sales Payment document based on the invoice entered. The customer can pay both in full and in part and for that amount paid, you create a Sales Payment document.

Thus, both the Sales Invoice and Sales Payment modules – are the modules in which the financial transactions related to the customer are performed.

Not tracking the aging of receivables hides debtor risk. The Sales Payment module links every payment to its invoice, making that risk visible.

Who it's for

  • Finance teams receiving and reconciling customer payments
  • Companies accepting payments in instalments
  • Management that wants control over receivables and late payments

How it works

  1. 01The customer pays against an invoice.
  2. 02A Sales Payment document is created and linked to the invoice.
  3. 03The amount paid, in full or in part, is recorded.
  4. 04The customer's amount paid and balance owed become visible.

Key capabilities

  • Sales Payment documents created against invoices
  • Full and partial payments recorded
  • Every payment linked to its invoice
  • Amount paid and balance owed tracked per customer
  • Receivables ageing (overdue amounts made visible)
  • Bank and cash receipts recorded
  • Accounting postings for payments passed to Finance

How it connects to other modules

Sales Payment is the last link of the sales chain: Sales Order → Sales Invoice → Sales Payment. Because the payment is tied to the invoice and the invoice to the order, you can see how much a customer has paid and still owes on every order. For sales that start from a customs document, the same figures are tracked on the Customs document and combined in one report.

Benefits

  • Debtor risk does not stay hidden
  • It is clear which invoice every receipt belongs to
  • Partial payments reduce the balance correctly
  • Sales and finance work from the same numbers

Frequently asked questions

When is a Sales Payment document created?

When a customer pays against an invoice created in the Sales Invoice module, a Sales Payment document is created for that invoice.

Can a customer pay in instalments?

Yes. The customer can pay in full or in part, and a separate Sales Payment document is created for each amount paid.

How do we see which invoices are unpaid?

Because every payment is linked to its invoice, unpaid and partly paid invoices are visible separately.

What is the difference between the Sales Invoice and Sales Payment modules?

The invoice records the amount the customer owes; the payment records the money received against it. Both are modules where customer-related financial transactions are handled.

Can we track customer debt together with a customs operation?

Yes. For sales created from a customs document, the amount paid and the balance owed are tracked on both the Finance and the Customs document.

Who is the Sales Payment module for?

Finance teams that receive and reconcile customer payments, and management that wants control over receivables.
