A sales order system records every order received from a customer, runs it through approval and tracks it until the goods or services are delivered. The Sales Order (SO) module in One Soft ERP provides an integrated environment for entering and processing sales orders and managing the physical distribution of goods — sales orders, invoices and payments are handled in one chain.
When orders come in by phone, e-mail or spreadsheet, some get lost, some go into execution without approval, and the customer's existing debt is not considered when the order is accepted. The Sales Order module turns every order into a formal document and tracks it together with the customer's position.
The lifeblood of every business is the sale and distribution of its products. At the heart of this process is the sales order system. Sales Order (SO) module in our ERP software provides a fully integrated online environment for entering and processing sales orders as well as managing the physical distribution of goods and materials.
A Sales Order – is an internal order document created by a company for a customer that authorizes sale of specified items, issued after receipt of a customer's purchase order. A Sales Order can either be for products, services or both. You can add and manage sales orders in Sales Order module.
The customer sends his/her Purchase Order (PO) and you run it in the Sales Order (SO) module to start the process. The Sales Order itself has a certain approval process. Each company may have different requirements and conditions. All these requirements and conditions can be implemented in the Sales Order module.
In logistics and distribution companies selling across multiple branches, the lack of credit limit control is a real risk. The Sales Order module tracks every order against the customer's credit limit.
Who it's for
- Companies selling goods or services against customer orders
- Distribution and logistics companies selling across several branches
- Finance teams that need to control customer credit limits
- Importers who want to tie sales to customs data
How it works
- 01The customer sends their purchase order (PO).
- 02The order is recorded as a sales order in the Sales Order module.
- 03The sales order goes through approval per your conditions and is tracked against the customer's credit limit.
- 04The goods or services are delivered to the customer.
- 05A Sales Invoice is created from the order.
Key capabilities
- Sales orders created from the customer's purchase order (PO)
- Orders for products, services or both
- Approval process that follows your company's requirements and conditions
- Every order tracked against the customer's credit limit
- Physical distribution of goods and materials managed

How it connects to other modules
The Sales Order module starts the sales chain: Sales Order → Sales Invoice → Sales Payment. A sales invoice is usually created from the order and the item details carry over; when the customer pays, a Sales Payment document is created against that invoice. Sales documents can also be created from Logistics and Customs documents.
Benefits
- Every order goes into execution through an approved process
- Credit-limit risk is visible in time
- No re-entering data between order, invoice and payment
- The sales process follows your own company requirements
